These terms apply to the entire content of this web site. If you do not accept these terms, please do not use this web site. Haileybury (the “School”) updates these terms from time to time and any changes will be effective immediately on being set out here. You further agree that these terms are also enforceable by our supplier, Aluminati Network Group Ltd ("Aluminati"), who host these pages on our behalf. Aluminati are acting under instruction as the School’s Data Processor under UK data protection legislation. Aluminati will process personal data strictly for the purposes of operating this service. Aluminati is registered with the Information Commissioner under membership number Z8393842. Aluminati are a trusted third party partner of the School and contractually bound to provide this service to the School and our pupils, alumni, parents and staff.

Haileybury Connect allows users to update their details online, access a directory of Haileybury alumni, parents and staff, and, subject to an individual registrant’s authorisation, participate in online mentoring programmes. To enable us to offer this service some of your personal information will be stored in Haileybury Connect. Both the School and Aluminati undertake to handle your personal information responsibly and in accordance with their respective duties under the most up to date UK legislation.

Please ensure you are aware of the current terms for the service, below. Please note that these terms are applicable in conjunction with the Alumni, donors and wider community Privacy Notice.  

Use of the web site 

Please note that some areas of this web site are available only to Haileybury staff, pupils, alumni and/or other authorised users.

The use of this website by Haileybury staff and pupils is subject to Haileybury’s ICT Acceptable Use Policy. Haileybury staff should always use their school email address for Haileybury Connect. Communication with current pupils via Haileybury Connect is prohibited and caution is advised when communicating with pupils who are recent leavers (within 3 years). Contact should be professional only and any concerns should be reported immediately to the DSL. Staff should also consider what personal information to make available on Haileybury Connect given that it may be visible to other users. Use of the privacy controls is strongly advised: see Information about you and your visits to our site section for more information.

You must not use this web site or any facilities or information which are available through it to: Commit or encourage unlawful acts or acts which breach of these terms of use; Misrepresent your identity; Hack, or attempt to hack, any part of the web site or any system used to run it; Store personal data derived from the web site; Post material that is obscene, offensive, or otherwise unlawful; Technically harm the web site and/or its systems (including, without limitation, computer viruses or malicious software or harmful data).

While the School tries to make this web site available 24 hours a day, it reserves the right to suspend or withdraw access, without notice, to either the whole or part of the web site, for any reason. 

Accessing our site 

Your user password and any other piece of information provided as part of our security procedures is confidential. You must not disclose it to any third party. You are responsible for making all arrangements necessary for you to have access to the site. You are also responsible for ensuring that all persons who access the site through your internet connection are aware of these conditions and comply with them. Access to the site is always at the School’s discretion and the School may withdraw or amend the services provided on the site without notice. From time to time the School may restrict access to some or all users to some or all parts of the site and sometimes the site may be unavailable. You use the site and the internet in general at your own risk.

We use reasonable efforts to ensure the continuous operation and availability of the site and we use technologies to keep users' data safe and accurate but we cannot and do not guarantee these things. Where possible we will post advance notice on the site where downtime is scheduled for maintenance. As is normal, you note the need to maintain backup copies of any important data. Whilst the School aims to update its site regularly the content on the site may be out of date at any given time. If the School determines that you have breached any of these conditions, it may take such action as it deems appropriate, including disabling your password whether chosen by you or allocated by us. You agree to indemnify us for all claims brought by a third party against us arising out of or in connection with any breach by you of any warranty set out in the conditions. 

Information about you and your visits to our site 

Haileybury Connect contains a directory of Haileybury alumni, parents and staff which contains their name.  Through using the service and creating an online profile or mentoring profile, certain information provided by you (including your name, personal headline, biography, professional history, education details, email address and LinkedIn profile) will be accessible by other individuals who have registered for Haileybury Connect (depending on what information you choose to share). These may be pupils, staff, alumni or parents. Haileybury Connect acts as a messaging forwarding service but your email address itself will remain anonymous to other users unless you choose to share it.  

Any information you submit to this website will also be visible to authorised Haileybury staff users (for the purpose of managing the service), as well as Aluminati employees. The Development Department and Partnerships Office processes information about you in accordance with our Privacy Notice, which forms part of these conditions. By using our site, you consent to such processing which is required to provide the service and warrant that all data you provide is true and accurate. 

Personal data of alumni, parents, staff and other stakeholders is transferred and stored by the Development Department and Partnerships Office into a propriety cloud-based database supplied by Blackbaud, Inc. called Raiser’s Edge (RE) under a contract for service. RE is hosted by Blackbaud on their servers located in the EEA. This database is protected by multi-level authentication and access is restricted to individuals who need to see the data to carry out their duties at Haileybury. The rights of these individuals is also restricted so that only the data that is necessary and required to complete their role is accessible. All access is reviewed on a regular basis. Blackbaud, Inc. do not permit their staff to have access to the personal data stored in RE.

If you partake in any mentoring schemes offered as part of Haileybury Connect, additional terms and conditions apply.  You will be presented with these upon accessing the mentoring area of the service and must agree to these before you can continue.

Haileybury Connect is one aspect of the School’s alumni and supporter engagement programme.  As such, the Development Department and Partnerships Office will also process information collected as part of users’ interactions with Haileybury Connect to pursue its legitimate interest in:

• Communicating with pupils, alumni, parents and current and potential supporters;
• Furthering the School’s educational charitable mission (which includes fundraising and securing the support of volunteers);
• Enabling the School to achieve its strategic and operational goals.

The Development Department and Partnerships Office’s legal bases for processing personal information and further information on the information we collect and how we use it is contained in the Privacy Notice. If, at any time, any provision of these terms is or becomes invalid or illegal in any respect, such provision shall be deemed to be severed from the terms, but the validity and enforceability of the remaining provisions shall not be affected as a result.
